How to put several copies of a document into one PDF
Upload the PDF to Copy PDF, set Number of copies (1 to 10) and decide whether Collate copies stays on: full sets A B C A B C or identical pages together A A B B C C. When printing the result, set the printer to one copy.
Open Copy PDF, upload the document and set the number of copies. The tool builds one PDF in which the source pages repeat as many times as you asked. This is handy when the finished print run has to live inside the file itself: for a copy shop, for a print house, or for a colleague who will simply press Print.
First decide what you want to repeat: the whole document as a unit, or each page several times in a row. One setting depends on that choice, and it is the easiest one to get wrong.
What the tool does and where its limits are
- Each run processes one PDF. If you have several different documents, merge them into one file first and then make the copies.
- The Number of copies field accepts values from 1 to 10; the default is 2.
- The result can contain at most 10,000 pages. If the source page count multiplied by the number of copies goes over that, the job ends with an error, so lower the number of copies.
- A file that opens only with a password is rejected. Remove the password first with Unlock PDF; the steps are described in How to Remove a PDF Password.
- Bookmarks and document properties (title, author) are carried over to the result.
Step by step: which fields to fill in
1. Drag the PDF into the upload area or click “or choose on your device”. 2. In Number of copies, enter the total number of document instances you want. It does not mean “how many to add to the original”: a value of 2 gives exactly two instances in the file, and a value of 1 gives one, which is just a plain copy of the source. 3. Collate copies controls the page order and is on by default. It means the result is assembled as complete sets. The next section explains the difference. 4. In Copy color mode, keep Original colours or pick Grayscale. 5. If you want a clear name straight away, fill in Output file name, for example “manual-3-sets.pdf”. 6. Click Process file and download the result.
Page order: Collate copies on or off
Label the source pages A, B, C to predict the result easily. With two copies and Collate copies on, you get A B C A B C: the whole document, then the whole document again. With the option off, identical pages sit together: A A B B C C. Both results have six pages, but after printing they are handled differently.
The first order is what you need when each recipient takes a ready set: two instruction manuals, three copies of a contract to sign, handouts for a seminar. The second suits work where sheets are later sorted into piles by hand, for example when title pages are printed on heavier paper separately from the rest. A common mistake is switching the option off “just in case” and ending up with a stack that has to be sorted sheet by sheet.
Color: Original colours or Grayscale
With Original colours the pages are copied as they are: text stays text, so you can select it and find it with search. Grayscale works differently: every page is rendered to an image and rebuilt. After it, do not count on selectable text, document search or working form fields. This tool cannot give you gray output and live text at the same time; the trade-offs of that conversion are covered in How to Turn a PDF Black and White for Printing.
In grayscale, check thin lines, small labels and color-coded information: red and green can end up as the same shade of gray. If the distinction matters, add text labels to the source document before making copies.
Double-sided printing and an odd page count
When you print on both sides, each sheet carries two pages. If the document has an odd number of pages, the second set starts on the back of the last sheet of the first one. For three pages in the order A B C A B C you get: sheet 1 holds A and B, sheet 2 holds C and A, sheet 3 holds B and C. The sets share a sheet and cannot be separated.
The fix is to add a blank page to the end of the source before copying:
1. Save an empty page as a PDF from any text editor. 2. Open Insert pages and upload your document first, then the blank PDF. 3. In Insert after page, enter the number of the last page of the document, for example 3. 4. Download the result and upload that file to Copy PDF.
Now every set has an even page count, and each new set starts on the front of a fresh sheet. More on inserting pages in How to insert pages into a finished PDF.
Check the result before printing
Open the downloaded PDF and check the total page count: source pages multiplied by the number of copies. Three pages at two copies give six pages, or eight with the added blank page. Then look at the joins between instances. In A B C A B C, page A must follow C again; with the option off, check the pairs A A, B B and C C.
If the source mixes page sizes or orientations, look at one page of each type. Bookmarks in the side panel point to pages of the first copy. That is expected: the other instances are reached by scrolling.
Do not multiply the run again at the printer
If the PDF already holds two complete sets and the print dialog is set to 2 copies, you end up with four sets. For a prepared file, set the printer to one copy and make sure all pages are selected.
Need more than ten sets? There are two ways. The first is to print the PDF several times: ten sets in the file and three copies in the print dialog give thirty. The second is to run the finished result through Copy PDF again: a file with ten sets, a value of 3 and Collate copies on turns into thirty sets in a row. Keep an eye on the 10,000-page cap, and choose Original colours for the second pass so gray pages are not rebuilt once more.
When you do not need repeated pages
If you need two identical independent files, copy the file with your operating system. If you print yourself and only need paper copies, the printer’s copy count may be enough. A combined PDF is useful when the repetitions must exist inside the document: the file goes to a copy shop, a print house or someone who will not dig into print settings.
Do not run duplicate-page removal on the result: the identical pages are intentional here. Give the file a name with the number of sets, keep the source separately and tell the recipient that the repetitions are not an assembly error.
Does two copies mean the original plus two more?
No. Number of copies sets the total number of instances. A three-page document at 2 gives six pages, and at 1 it gives a plain three-page copy.
What is the difference between Collate copies on and off?
On, the tool builds complete sets: A B C A B C. Off, identical pages go together: A A B B C C.
Will text stay selectable in Grayscale mode?
Do not rely on it: this mode rebuilds pages from images. If you need the text, choose Original colours and check the downloaded file.
Can I make more than 10 copies?
Not in one run: the field accepts values from 1 to 10. Print the PDF several times, or process the result again while staying within 10,000 pages.
Why does the second set start on the back of a sheet in double-sided printing?
This happens when the document has an odd number of pages. Add a blank page to the end of the source with Insert pages, and only then make the copies.
